Sparkling Hill Resort & Spa is seeking a Sales Coordinator to support the sales team in daily operations and assist in promoting the resort.

 

The ideal candidate will have at least 2 years of experience in sales and marketing and thrive in a dynamic, fast-paced environment. They should be proactive, with a strong commitment to delivering high-quality work in support of guest services and communications. Proficiency with a range of digital systems, as outlined below, is essential.

 

This role requires the candidate to be based at Sparkling Hill Resort’s head office in Vernon, BC. Remote applicants will not be considered.

 

Responsibilities

General Duties:

  • Answer phone calls and respond to inquiries in a friendly and professional manner.
  • Provide information to clients/third party planners about property facilities and services (e.g., hours of operation, rates, room types, packages, promotions, entertainment, restaurants, etc.).
  • Serve as a point of contact for prospective sales clients, handling inquiries and requests via phone and email.
  • Collaborate with the sales and marketing team on various tasks.
  • Support the team in preparing reports, conducting research, and gathering data for reports and documents.

Sales Duties:

  • Generate reports, including daily sales, group and occupancy reports
  • Collect details from corporate sales inquiries and coordinate with clients and in-house departments.
  • Prepare sales-related documents throughout the sales process (e.g., digital brochures, promotional materials, trade show/sales demo kits).
  • Assist in the creation of proposals, contracts for prospective clients, and applications for the Corporate Perks Program. Monitor applications and program performance for annual renewals.
  • Manage documents, products and communicate relevant information to the sales team.
  • Arrange and coordinate meetings, events, and appointments with the Group Sales Manager.
  • Coordinate arrangements with vendors for sales and tradeshow events.
  • Support the Group Sales Manager in organizing prospects and leads for corporate inquiries.
  • Monitor, screen, respond to, and distribute incoming communications of Corporate Perks and donation requests.
  • Support the marketing team in preparing sales related email marketing content and maintaining databases.
  • Maintain and distribute brand guidelines, ensuring consistency in hotel communications.
  • Ensure all documents produced by the Sales Department (e.g., contracts, rooming lists, proposals) are completed accurately and on time.
  • Ensure the availability of sales-related equipment or materials at all times.

Qualifications:

  • Minimum 2 years of experience working in a sales and marketing position, ideally in a hospitality or customer-centric environment
  • Excellent customer service and communication skills; able to communicate clearly and professionally.
  • Experience with a property management system; Maestro, Delphi or Amadeus is an asset
  • Strong multitasking abilities and time-management skills.
  • Ability to work under tight deadlines.
  • Proficiency in standard office administrative practices and procedures.
  • Basic knowledge of CRM or sales management systems.
  • Fluency in English, with excellent written and verbal communication skills.
  • Friendly, customer-focused, and able to work well in a team environment.

Duties will include:

  • Perform general clean-up of all facilities.
